Wholesale and distribution

Orders, prices, stock and balances that agree, every day

Wholesalers run on thin margins and high volumes. When orders are retyped, price lists live in spreadsheets and balances are reconciled by hand, errors become expensive. We support the IT and automate the workflows behind them.

Common operational problems

Customer-specific pricing in spreadsheets

Tiered and negotiated prices kept in files mean quotes and invoices drift apart.

Orders arriving through every channel

Phone, email, chat and portal orders are keyed in by hand, often more than once.

Stock that is never quite right

Stock levels drift between warehouses, the sales team and the online catalogue.

Credit and balances checked too late

Customer balances and credit limits are checked after dispatch instead of before.

Common systems and integration points

  • ERP or accounting system (stock, invoicing, ledgers)
  • Customer or reseller ordering portal
  • Price lists, price trees and promotion rules
  • Warehouse and dispatch tools
  • Supplier and marketplace APIs or data feeds
  • Payment gateways and bank statement imports
  • Microsoft 365 or Google Workspace for staff

Common risks we look for

  • Shared logins on ordering or accounting systems, so nobody can see who changed a price.
  • Former sales staff or agents who still have portal access.
  • Price changes applied without approval or history.
  • Order databases with backups that have never been restored.
  • Payment-change fraud by email, such as altered supplier bank details.

A phased implementation roadmap

  1. Phase 1 — Stabilise

Inventory users, devices and systems. Enable MFA on email and finance. Confirm backups and run a first restoration test.

  2. Phase 2 — Document

Map the order-to-cash process, price rules, approval points and integration touchpoints, with volumes and error rates where measurable.

  3. Phase 3 — Automate the highest-cost step

Usually order capture or pricing. Build it, integrate it and measure it against the baseline.

  4. Phase 4 — Extend

Customer portal, balances and credit checks, supplier feeds and management reporting.

Illustrative scenario: not a client result

What this can look like

A distributor with around 40 staff takes orders by phone and messaging app, keys them into an accounting system, and maintains five price levels in a spreadsheet.

Stabilise accounts and backups first. Then build a reseller portal that applies the correct price level automatically, checks the customer’s balance before confirming, and posts orders to the accounting system through its API.

Agree the measures in advance: order-entry time, pricing errors per month, and time from order to dispatch confirmation.
